Position Overview: Customer Experience Specialist

As a Customer Experience Specialist at arenaflex, you will work directly with customers to answer general inquiries, address concerns, and assist with requests related to healthcare and dental insurance products and services across multiple lines of business. Your primary mission is to project a professional company image while providing superior customer service through any of the customer contact channels — including phone, email, web portal, and live chat interactions.

This role requires a unique blend of technical knowledge, communication skill, and emotional intelligence. You will be the voice and face of arenaflex for thousands of members who depend on your expertise to understand their benefits, resolve claim issues, and gain access to the care they need. Key Responsibilities

  • Resolve coordination of benefits inquiries by carefully analyzing patient activity, including enrollment status, third-party liability information, and claims attachments.
  • Develop and maintain a comprehensive understanding of insurance coverage, enabling you to interpret and communicate accurate, easy-to-understand information to customers.
  • Thoroughly and completely document all customer interactions in accordance with company standards and regulatory requirements.
  • Educate customers and dental professionals on eligibility requirements, benefits packages, claims payment processes, and authorization procedures.
  • Promote and educate members on the usage and benefits of self-service tools to enhance their overall experience and independence.
  • Assist members in gaining access to care by locating network dentists or assigning them to a primary care dentist as appropriate.
  • Direct inquiries to the appropriate departments or individuals when the resolution falls outside the scope of this role.
  • Respond to all customer inquiries in a courteous, professional, and timely manner.
  • Research and consistently provide accurate information to resolve all member and provider inquiries through verbal and written communications across all channels.
  • Respond to and resolve complex internal and external customer inquiries that require critical thinking and detailed analysis.
  • Resolve claim payment inquiries by researching and analyzing patient activity, then determining the appropriate action to be taken.
  • Take ownership of each resolution and set clear expectations for follow-up with the customer.
  • Ensure that resubmissions, stop payments, and voids are handled appropriately and in a timely fashion.
  • Meet or exceed individual, department, and client-specific performance goals on a consistent basis.
  • Understand and adhere to all client administrative and contractual policies and procedures.
  • Suggest process improvements that contribute to the overall success and efficiency of the organization.
  • Perform other duties as assigned to support team and organizational objectives.

Essential Qualifications

To thrive in this role at arenaflex, candidates must possess the following critical qualifications:

  • Education: High School Diploma or equivalent is required.
  • Experience: A minimum of two years of experience in a high-volume customer service environment.
  • Industry Knowledge: Prior experience in healthcare, dental, or a related industry is preferred but not mandatory.
  • Technical Multitasking: Demonstrated ability to multi-task using multiple applications simultaneously without sacrificing accuracy or service quality.
  • Technical Setup: Ability to set up computer equipment and troubleshoot basic technical issues with minimal assistance.
  • Communication Skills: Professional verbal and written communication skills that convey clarity, warmth, and competence.
  • Software Proficiency: Strong working knowledge of Microsoft Office applications, including Word, Excel, and Outlook.
  • Organization: Strong organizational skills with meticulous attention to detail.
  • Teamwork: Ability to work independently with self-direction while also collaborating effectively as part of a team.
  • Adaptability: Ability to learn quickly and adapt to a fast-paced, production-driven environment.

Preferred Qualifications

  • Hands-on experience with claims processing, billing, and medical coding.
