Position Overview

The Remote Data Entry Processor role is a critical component of arenaflex’s Physician Billing Office. Working from any location within the tri‑state area, you will be responsible for the accurate and timely entry of charges, payments, adjustments, and refunds into the arenaflex system. This position supports the entire revenue cycle by ensuring that billing data is captured correctly, discrepancies are identified early, and the flow of financial information aligns with regulatory and contractual requirements. Key Responsibilities

Core Data Entry Functions

  • Enter all charge capture information, including new charges, payments, adjustments, and refunds, into the arenaflex system with precision.
  • Validate data against source documents such as Explanation of Benefits (EOB) forms, credit variance reports, and refund variance reports.
  • Reconcile un‑reconciled batches within 24‑48 hours of receipt, ensuring that every transaction is accounted for.
  • Maintain up‑to‑date knowledge of billing requirements for third‑party insurers, including Medicare, Medicaid, commercial plans, and HMO contracts.

Quality Assurance & Compliance

  • Identify and flag inconsistencies or errors in billing data, documenting the EDI number and check number in the appropriate fields.
  • Report any discrepancies or system issues to the Billing Manager promptly, following established escalation protocols.
  • Adhere to arenaflex’s data entry policies, privacy standards, and regulatory compliance guidelines (HIPAA, OIG, etc.).
  • Participate in regular audits and quality checks to continuously improve data integrity.

Team Collaboration & Process Improvement

  • Communicate proactively with supervisors, coordinators, and cross‑functional teams to prioritize workload and meet departmental productivity targets.
  • Contribute ideas for process enhancements, automation opportunities, and workflow optimizations that increase efficiency and reduce error rates.
  • Support colleagues by sharing knowledge of billing requirements, system shortcuts, and best practices.
  • Engage in continuous performance monitoring, seeking feedback and implementing corrective actions as needed.

Essential Qualifications

  • Education: High School Diploma or GED required; additional coursework in health information management or related fields is a plus.
  • Experience: Demonstrated experience with computerized medical billing systems; prior work in a physician or hospital billing environment is highly desirable.
  • Technical Proficiency: Ability to navigate and efficiently use the arenaflex system (formerly EPIC) and related databases.
  • Language Skills: Strong command of written and spoken English, with excellent grammar and spelling.
  • Productivity: Proven track record of meeting or exceeding high‑volume data entry productivity standards.

Preferred Qualifications

  • Familiarity with ICD‑10 and CPT coding conventions.
  • Knowledge of regional third‑party payer requirements and managed‑care contracts.
  • Experience with electronic data interchange (EDI) processes and claim adjudication workflows.
  • Certification in medical coding or health information technology (e.g., CCA, RHIT).

All data entry activities will be performed within the arenaflex system, a robust, cloud‑based platform that integrates patient records, billing, and financial reporting. Training modules for the arenaflex system are provided during onboarding, and ongoing education is available to keep you current with system enhancements and regulatory updates.

Performance Expectations

  • Achieve 100% accuracy on all data entry tasks, as measured by quarterly audit results.
  • Maintain departmental productivity benchmarks (e.g., number of transactions processed per hour) consistently.
  • Complete all required arenaflex system training modules within the first 30 days of employment.
  • Submit all credit variance, refund variance, and missing EOB documentation within the stipulated 24‑hour window.
  • Demonstrate proactive problem‑solving by identifying at least two process improvement opportunities each quarter.
