Role Overview

We are seeking a meticulous, self‑motivated Remote Data Entry Specialist to join arenaflex’s growing data operations team. In this role, you will be the guardian of data accuracy, responsible for migrating, validating, and organizing large volumes of information across multiple platforms. Your work will directly influence the quality of analytics, reporting, and decision‑making processes for our clients. If you have a passion for detail, a knack for rapid yet error‑free typing, and enjoy working independently in a dynamic virtual environment, this opportunity is tailor‑made for you.

Key Responsibilities

Data Migration & Transfer

  • Transfer data accurately from legacy applications, PDFs, scanned documents, or web portals into designated arenaflex systems, ensuring 99.9%+ accuracy.
  • Perform bulk data imports using CSV, Excel, and custom templates while adhering to established data‑mapping guidelines.
  • Collaborate with IT and project managers to resolve migration anomalies, data mismatches, or formatting issues.
  • Document migration procedures and create knowledge‑base articles for future reference.

Spreadsheet Creation & Management

  • Design, populate, and maintain comprehensive spreadsheets that handle thousands of rows and multiple data fields.
  • Implement data validation rules, conditional formatting, and pivot tables to enhance readability and reduce manual errors.
  • Conduct routine audits to verify formula integrity, reference consistency, and overall spreadsheet health.
  • Provide clean, well‑structured data extracts to downstream analytics teams and external stakeholders.

Data Verification & Quality Assurance

  • Cross‑reference entered data against source documents, databases, and client‑provided specifications.
  • Identify and correct discrepancies, missing values, or duplicate entries promptly.
  • Execute systematic quality‑control checks, including spot‑checks, statistical sampling, and automated validation scripts.
  • Maintain detailed logs of verification activities and report trends to senior data managers.

Information Retrieval & Support

  • Respond to internal and client‑facing requests for specific data extracts, reports, or document retrieval within agreed service‑level agreements.
  • Navigate web‑based applications, cloud storage solutions, and internal databases to locate required information efficiently.
  • Assist teammates with troubleshooting data‑related issues, sharing best practices, and offering guidance on complex queries.

Data Preservation & Backup

  • Schedule and execute regular backups of critical data sets, ensuring compliance with arenaflex’s data‑retention policies.
  • Verify backup integrity, perform restoration tests, and document outcomes for audit purposes.
  • Coordinate with security teams to safeguard sensitive information against loss, corruption, or unauthorized access.

Document Organization & Workflow Optimization

  • Sort, file, and archive electronic documents post‑entry to maintain an orderly, searchable repository.
  • Recommend and implement process improvements that streamline data entry workflows, reduce redundancy, and accelerate turnaround times.
  • Participate in periodic reviews of standard operating procedures (SOPs) to keep them current and effective.

Essential Qualifications

  • Education: Associate or bachelor’s degree in Business Administration, Information Management, or a related field.
  • Experience: Minimum 2 years of proven experience as a data entry clerk, data migration specialist, or similar role with a documented record of high accuracy.
  • Typing Proficiency: Ability to type at least 70 words per minute with a 98%+ accuracy rate.
  • Software Mastery: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Google Workspace tools.
  • Hardware Knowledge: Comfortable operating standard office equipment (scanners, printers, multi‑function devices) and troubleshooting basic computer peripherals.
  • Web Navigation: Basic competence in navigating web‑based applications, portals, and cloud storage platforms.
  • Communication: Excellent written and verbal English skills, with the ability to convey information clearly and courteously.
  • Attention to Detail: Demonstrated ability to spot inconsistencies, maintain data integrity, and follow meticulous procedures.
  • Self‑Management: Proven track record of working independently, meeting deadlines, and proactively seeking clarification when needed.

  • Familiarity with relational databases (SQL) and basic query writing.
  • Knowledge of data‑governance frameworks and privacy regulations (GDPR, CCPA).
  • Exposure to project management methodologies (Agile, Scrum) and ticketing systems (Jira, ServiceNow).
  • Certification in Microsoft Office Specialist (MOS) or similar credentials.
  • Previous remote work experience with a home office setup that meets ergonomic and connectivity standards.

Core Skills & Competencies

  • Analytical Thinking: Ability to interpret data patterns, anticipate potential errors, and propose corrective actions.
  • Problem Solving: Resourceful in diagnosing data‑related issues and implementing effective solutions without extensive supervision.
  • Time Management: Skilled at juggling multiple data streams, prioritizing tasks, and delivering results within tight timelines.
  • Collaboration: Comfortable reaching out to teammates, sharing knowledge, and contributing to a supportive virtual community.
  • Adaptability: Flexibility to switch between varied product types, data formats, and evolving project requirements.
  • Quality Mindset: Understanding of metrics, quality attributes, and continuous improvement principles.
